Agencies thrive, with fractional access, to specialised skillsets.

What we do

Hands-on help, not hands-off consultants.

We embed experienced agency Project Managers directly into your team; improving predictability in project delivery, and boosting your agency's profitability.

Our focus is on the day-to-day operations, prioritising key deliverables, solving resource & capacity challenges and minimising the context-switching that kills creativity.

We focus on day-to-day delivery.

Prioritising key deliverables, solving capacity challenges and minimising the context-switching that kills the creativity your clients love you for.

The problem we solve

Agencies are filled with creativity, but often lack the expertise to manage projects efficiently.

An out-of-focus Zoom call with 20+ participants

As the number of staff, projects and clients increase; so too does the amount of time senior team members spend on day-to-day delivery, instead of the work they excel at.

This leads to prioritisation issues, resource clashes, inefficient workflows, duplication of work, and crucially, reduced margins.

That sucks!

Even the agency bible, AGENCYNOMICS , tells you to prioritise the hiring of a Project Manager as soon as you can afford one.

But we don't think anything involved with running an agency is ever binary, and nor should that decision be. So why wait to go from zero to one, when a fractional service available?

Our Solution

With decades of agency experience, we understand the immediate impact of an objective outsider, with a singular focus.

We focus on making work visible and communicating asynchronously, while making accountable decisions early.

This improves forecasting and estimating, which helps with managing resources, risks and your margin effectively.

FAQs

hello@ptpm.studio

You do, and what's more, you're already doing it! Every time you prioritise your team's work, or forecast what they'll be doing next, or checking capacity for future work, or checking timesheets to bill clients, and 101 other small operational tasks that get done each day. Project management is essential for every agency, regardless of who does it. Bringing in an expert allows you to focus on what your agency does best while ensuring that the operational aspects are handled efficiently.

It's basically 7.5 hours of time, split as needed in a single week. Where possible, we block work into 20 minute chunks of time, to minimise context-switching. This allows you access to your PM throughout the day, and for them to book in recurring sync-ups and client meetings as needed. We also appreciate that some days and weeks are busier than others. That's why each of our Project Managers are never booked out for more than 4 days per week, so they can flex as needed. The good news is, we don't clock-watch! We're not billing you by the minute like an LA Lawyer. If we feel that we're consistently over-servicing, we'll talk about either adjusting how much time you need, or where best to focus your PM's time.

Its an absolute game-changer, especially for small businesses. It's all about getting that extra help just when you need it, without the full-time commitment. This means more time for you to focus on your clients, while we make sure everything runs smoothly in the background. If you've read Agencynomics, you'll know that adding good project management is like adding an accelorator to your business, so why wait until you can afford one full-time?

If your agency struggles with spending valuable creative time on operational tasks, or context switching across clients and projects, then our services can be a great fit. We work with both agencies that have no Project Manager, and those that just need a top up without going to market for a full-time contractor.

Absolutely! One of the great advantages of our multi-decade experience across agencies is that we've (almost) seen it all. Its rare that we come across new tools, software or processes; and where we do, its simply an oppertunity to learn and play back to you how those work against the industry standards. It's also one of the core reasons behind our ring-fenced onboarding/discovery day, to ensure that you have confidence in our ability to deliver to your agency, before commiting.

Our team, are all certified in traditional project management (Prince2 or APM/PMI) and agile methodologies (Certified Scrum Masters). We rarely deploy these methodologies in their fullness, as its overkill for almost every situation.

All agency owners know that a great Discovery phase makes a huge difference in the success of any engagement. We also know that no-one likes to pay for one, including agencies that know better! To deliver tangible value right from the start, our Discovery phase is a single service audit of your people, processes, products, and projects; with both a highlight report as a deliverable, and a service proposal for how to proceed. For both the Discovery and the Onboarding session, we charge a one-off fee, as we block-book your Project Manager and the internal Project Director for a minimum day to ensure our complete focus in setting the engagement up for success.

Yes, you can cancel your ongoing services whenever you'd like, at no cost. We ask for 10 days notice, before the next month starts. Upon cancellation, we will inform you of any un-used retained time, and plan the best way to utilise it, including wrap-up and handover.

Manager of the year (again)

I'm sure every company bio mentions Covid now, but I was thrilled to have been contacted by so many old clients (and new referrals) that had embraced remote-first working.

It means the world to me, that we were able to deliver transformative socially-diven work for multiple demographics, including securing two #1 in the App Stores within 12 months.

That body of work led to my being shortlisted for by the IPSE "New Freelancer of the Year", before going onto win YunoJuno "Freelance Project Manager of the Year" the next year.
